How to plan photography for a gala dinner or awards ceremony in Barcelona: key moments, lighting, photocall, same-night delivery and prices from €450 + VAT.

A gala dinner or awards ceremony is well covered with 2-3 hours of photography, which at Noomadik starts at €450 + VAT including the edited gallery. What makes the difference is not the hours, but knowing which moments cannot be missed, what the light is like in the venue and whether anyone needs photos that same night.

The moments you cannot miss

A lot happens at a gala dinner in a short time, and almost all of it happens only once. These are the moments worth flagging in the run of show:

  • The venue set up before guests come in: the table, the centrepieces, the lighting, the branding. It is the most used photo afterwards and it only exists for a few minutes.
  • Arrivals and the photocall, if there is one.
  • The welcome drinks: guests talking, toasts, atmosphere.
  • The speeches, with the speaker and the room’s reaction.
  • Each award presentation: the moment it is received, the handshake and the posed photo of the winner with the presenter.
  • The group photo of all winners at the end of the ceremony, before they scatter.
  • Dinner and after-dinner: tables, conversations, live music if there is any.

Light and venue: what to know beforehand

Gala dinners usually have low, warm light, perfect for the atmosphere and hard for photography. It helps a lot to know in advance:

  • Whether there is stage lighting and where the awards are presented. A platform with its own light allows clean photos of every presentation.
  • If the dinner is outdoors, on a terrace for example, what time the sun sets. Sunset light is the best of the evening for venue and drinks photos.
  • Where the photocall will be and whether it has its own lighting.
  • How many awards there are and how long each presentation takes, to know whether one photographer can cover both stage and tables.

One photographer or two

For a dinner of 50-100 people without a photocall, one photographer is enough. It is worth adding a second when:

  • There is a photocall during the drinks or the dinner, with well-known guests or press.
  • The awards ceremony is long and you also want photos of the tables and guests.
  • There is more than one space at once: a room for dinner and a terrace for drinks.

Photos on the same night

At an awards ceremony, each winner’s photo is worth more the next day than a week later: for the press release, for the organiser’s social media and for the winners themselves. What to send the photographer

For the coverage to go smoothly, send:

  1. The run of show with timings: arrivals, drinks, speeches, dinner, awards.
  2. The list of winners and, if possible, who presents each award.
  3. A contact person on the night who knows the key guests.
  4. The venue layout: where the stage, the photocall and the tables are.
  5. What you will use the photos for: press, social media, website, annual report.
