How many photographers and videographers does your event need?
How to work out how many photographers and videographers you need based on attendees, parallel rooms, duration and deliverables, with a guidance table.

The number of photographers you need depends less on how many people attend and more on how many important things happen at the same time. A 300-person convention in a single room can be covered by one photographer; a 200-person congress with three parallel rooms cannot.
This guide explains which factors to look at and gives a guidance table so you can get an idea before requesting a quote. It is not a fixed rule: every programme is different, and the best approach is to review it with the run of show in front of you.
The four factors that decide the team
1. Attendees
Numbers matter, but less than you might think. What changes with a large audience is:
- The space to cover to get from one point to another.
- The number of key people to photograph (speakers, leadership, clients, sponsors).
- How long moments such as registration, networking or the group photo take.
With a large audience, one photographer can cover the plenary, but will struggle to be at the networking, the stands and the photocall at the same time.
2. Parallel rooms
This is the factor that weighs most. One person cannot be in two rooms at once. If the programme has simultaneous sessions, you have two options:
- One photographer per active room, if every session matters.
- One photographer rotating between rooms, spending a few minutes in each. It costs less, but moments are missed and not every session is covered equally.
3. Duration
A day running from nine in the morning into the evening, with a plenary, workshops, lunch and dinner, is a lot for one person. It is not only about fatigue: there are also overlaps, such as the dinner starting while someone should be editing the day’s selection. For multi-day events, plan the team per day, not for the event as a whole.
4. Deliverables
What you need to receive also shapes the team:
- Edited gallery only, a few days later: the minimum team is usually enough.
- A selection during the event for social media or press: you need someone editing on site, or time set aside for the photographer to do it.
- Highlights film or interviews: you need a videographer.
- Live stories and reels: you need a content creator.
Why photo and video are done by different people
It is a common question: can the photographer not film as well? It can be attempted, but the result suffers. Photo and video need different positions (the videographer looks for steady shots and clean sound; the photographer is constantly moving), different kit and different focus. Anyone trying to do both ends up doing each only halfway.

Worked examples
Annual kick-off at a hotel, one room
A morning plenary, a couple of workshops in the same room, lunch and a group photo. One photographer is usually enough, because everything happens in sequence. If you want a highlights film for internal communications, add one videographer.
Congress with a plenary and three session rooms
One person covers the opening and closing plenaries. During parallel sessions, the sensible set-up is one person per room or, if some sessions are less important, two photographers sharing the priority rooms. It helps to mark the must-have sessions in the run of show.
Product launch with press and live social media
There is a photocall, an on-stage presentation, demos and social media posting during the event. A sensible team would be two photographers, one content creator for stories and reels and, if there is express delivery, one person editing on site.
How to fine-tune the number before requesting a quote
- Mark in the run of show the moments that cannot be missed.
- Highlight the overlaps: what happens at the same time, and where.
- Define deliveries: what you need on the day and what can wait.
- Say whether there will be video or social media content.
- Share a floor plan of the venue, if you have one.
