A team building day or off-site is one of the few days a year when the whole team is together, relaxed and out of the office. It is a great opportunity for natural photos of the team, the kind that get used for months afterwards in internal communications, on LinkedIn, on the careers page or in the annual report. To get them right, the coverage needs planning, just like the activity.

This guide sums up how we approach it, based on company gatherings such as Digital Science’s annual meeting or Swisslog’s Global Talent Program.

What the photos will be used for

Define the use before you book. It changes what needs photographing:

  • Internal communications: a round-up of the day for the intranet or newsletter.
  • Employer branding: photos of the team working together and enjoying themselves, for the careers page, LinkedIn and job ads.
  • HR: the group photo, updated portraits and material to welcome new joiners.
  • Social media: a few strong photos to post the same day or the next.

To get the most out of them afterwards, see our guide on how to use your event photos and videos.

What to photograph

  1. Arrivals and atmosphere: the venue, people catching up, the coffee.
  2. The main activity, with faces and gestures: concentration, laughter, celebration. This is what works best on social media.
  3. Small groups working together, which show what the team is really like.
  4. The group photo, done properly (see below).
  5. Remarks from the leadership team, if there are any.
  6. Lunch or dinner, with toasts and conversation.
  7. Details: the activity materials, the decoration, the venue.

The group photo

It is the most used photo and the one most often spoiled. What helps:

  • Choose the spot in advance, with even light: open shade or a well-lit interior, never direct sun in people’s faces.
  • Take it early, when everyone is there and nobody has left yet.
  • Raise the photographer a little if the group is over 30 people (a ladder, a terrace, a balcony), so every face is visible.
  • Take several frames in a row, to pick one where nobody has their eyes closed.
  • Have someone from the team help organise: it speeds things up a lot.

Natural photos without getting in the way

At a team building day people are relaxed and don’t want to feel watched. We work discreetly, without interrupting the activity or asking for poses, except for the group photo and the portraits. Before the day, let people know there will be a photographer and respect anyone who prefers not to appear; we explain how in our guide to image rights and GDPR at corporate events.

LinkedIn headshots on the same day

With the team together, it is the perfect moment to refresh profile photos. A small set in a well-lit corner allows portraits during the breaks without taking time from the activity. More in our guide to on-location headshots at an event.

Video

A short 60-90 second video with the atmosphere and a few words from the team is a very useful format for the careers page and LinkedIn. Video is shot by a videographer from our team and photography by a different professional, coordinated on the same plan.

// FAQ

Is it worth hiring a photographer for a team building day?

If the photos will be used for internal communications, LinkedIn or your careers page, yes. Phone photos are fine as souvenirs, but they rarely have the quality or variety needed for employer branding, and they always leave out whoever is taking them.

How long should team building coverage last?

It depends on the activity. For an afternoon activity or a session of a few hours, a half day is enough; for a full-day off-site with activities, lunch and dinner, a full day. We fit it to your schedule.

How do you get a good group photo with a lot of people?

By choosing the spot and the time in advance, with even light and a raised position if the group is large, and by taking it early, when everyone is there and fresh. Several frames are taken so nobody ends up with their eyes closed.

Do we need permission to publish the team photos?

It is wise to tell people there will be a photographer and what the photos will be used for, and to respect anyone who prefers not to appear. We explain it in our guide to image rights and GDPR at corporate events.

Can you also take LinkedIn headshots during the team building?

Yes. A small set can be put up in a well-lit corner and the breaks used for portraits of anyone who wants one. It is a practical way to refresh the whole team's profile photos.
