A good corporate portrait builds trust before the first meeting. It is the first thing a client sees on your website, a candidate sees on LinkedIn or a journalist sees in a press release. And yet many companies still use phone photos, each with a different background and different light.

This guide explains why it is worth doing properly and how to organise the shoot so it is quick and comfortable for the whole team.

Why professional portraits matter

They give a consistent image

When the whole team has the same background, the same light and the same style, the team page on your website, email signatures and LinkedIn profiles look like what they are: one company. A mix of random photos gives the opposite impression.

They put a face to the company

Behind every company there are people, and clients like to know who they will be working with. A warm, natural portrait does more for trust than any slogan.

They are used everywhere

A good portrait works for the website, LinkedIn, sales proposals, press releases, conference talks and the annual report. It is an investment you use for years.

How to organise the shoot

At the office, in time slots

The most practical approach is for the photographer to come to your office with a background and lighting and set up a small studio in a meeting room. Nobody wastes time travelling and the working day carries on.

Sessions are scheduled in 5-10 minute slots per person, enough to get a good photo without rushing. In one day you can do 40-60 portraits.

Neutral background, workplace or both

  • Neutral background: the classic for the website and LinkedIn. Consistent and easy to repeat when new people join.
  • Workplace: more natural portraits in the office itself, ideal for leadership and the press.

Many companies combine both: a neutral headshot for the whole team and workplace portraits for the leadership team.

What to ask of each person

  • Clothes they would wear to an important client meeting. Plain colours are best: small patterns and thin stripes shimmer on camera.
  • Arrive on time, with a few minutes to spare.
  • Relax: most people aren’t comfortable in front of a camera. Part of the photographer’s job is to help them relax.

After the shoot

Ideally you receive a proofing gallery so each person can choose their favourite photo. The chosen ones are delivered edited, with natural retouching — light, colour and small details — and in several versions: high resolution, web and a square format for LinkedIn.

A detail that makes the difference

Keep the session setup — background, light and framing — for new joiners. That way, everyone who joins the team gets a photo that matches the rest, and your team page stays consistent over the years.

The most practical option is your office. We bring the background and lighting and only need a room or a clear space of about 3 × 4 metres.

How much time does each person need?

Between 5 and 10 minutes for a headshot. Executive portraits, more elaborate or in the workplace, need a little longer.

What should people wear?

What they would wear to an important client meeting. Plain colours work best; small patterns and thin stripes shimmer on camera.
